What exactly is included in the pilot?
One approved lead source, a core qualification workflow, a follow-up sequence, one calendar connection and a basic handoff. We also monitor the pilot and review it with you. The proposal confirms the exact scope and dates.
Do I need to change my CRM or calendar?
Not necessarily. We check your existing setup first. Some connections require particular plans, permissions or API access. We’ll explain what is possible and what would need extra work.
Can it sound like our business?
We work with you on the tone and approved messages. The assistant introduces itself as AI, and you review the conversation approach before launch.
What if it gets a question it can’t answer?
We agree a fallback. That may mean collecting the question, explaining that a team member needs to help and sending the conversation to the right person.
Can someone ask it to stop contacting them?
Yes. Opt-out handling and other stopping rules form part of the agreed follow-up workflow.
Are software and messaging charges included?
Only where your proposal explicitly says so. Otherwise, paid tools and usage charges are separate. We explain the expected costs before you approve the work.
What if we don’t receive many enquiries during the pilot?
We can still test agreed scenarios and check the technical workflow. But with little live activity, we won’t have enough evidence to draw strong conclusions about booking performance.
Will this guarantee more sales?
No. It helps make response and follow-up more consistent. Sales still depend on your offer, the quality of the enquiry and the conversations your team has with the prospect.
Do we have to continue after the pilot?
No further deployment or ongoing management work starts without your agreement. We review the pilot and discuss whether continuing makes sense.
Where is Hubflow based?
We’re based in Pakistan and work with clients internationally, including the UK. We agree communication times, availability and support expectations before starting.
